Settings & Setup

TalentHook allows you to customize the application to best fit your needs. This section describes the setting options in the following setting tabs:

To activate the "TalentHook Settings" dialog window, click Settings on the main tool bar.

User Information tab

This tab allows you to configure your user detail information, including your TalentHook login information.
The "Bulk Email Wizard" and "Candidate Submittal Wizard," use this user detail information for outgoing email.

! This information is automatically populated in the email "from" line of email sent from the "Bulk Email Wizard" and the "Candidate Submittal Wizard."

Login information

TalentHook is a subscription-based application requiring login. Your TalentHook account manager provides login information.

Office code

Your TalentHook account manager provides the office code.

Login id (email address)

Typically TalentHook uses your email address as your login id. This can be automatically copied into this field by checking the "Same as in User details" check box.

Password

A password is required to operate TalentHook. By default, the "Automatically log me in" will be enabled. If you disable this, you will be prompted to login every time you run a query.

Connection Information tab

This tab is where you can set Mail service information as well as Web connection information.

Mail Service

Select the mail system that is being used in your office from the drop-down menu. Selections include:

  • SMTP Server
  • Exchange Server
  • Lotus Notes Server
  • Outlook Client
  • MAPI Client

SMTP Server - If you select the SMTP Server option, TalentHook tries to automatically determine your current SMTP settings. If it finds these settings, it will automatically populate the "SMTP Server" field and the "Port field." If TalentHook does not find the correct SMTP settings, contact your network administrator.
Outlook Client - Selecting Outlook Client, tells TalentHook to send bulkmail and candidate submittals using Outlook. These TalentHook features will place outgoing mail directly into your Outlook mails outbox.
When you send an email from TalentHook, and you are not using "Bulk Email Wizard" or the "Candidate Submittal Wizard," your default mail system will be used and TalentHook will automatically initiate the default email program.

Web Connection

Select the connection speed appropriate for your system. Check the checkbox if you connect through a proxy server and then enter the address and port. TalentHook inspects your system in an attempt to determine your current proxy settings. If the setting information is incorrect, check with your network administrator.

Application Settings tab

This tab allows you to configure various aspects of the application, including:

  • The type of organization under which you want to store companies, jobs and managers.
  • Your default work and results directories.

Organize managers under

Enter your own organization name, or choose from the following:

  • Company
  • Department
  • Division
  • Group
  • Organization
To change the type of organization:
  1. Click Settings in the main menu bar.
  2. Select the Application Settings tab.
  3. Select an organization type in the drop-down menu or type in your own and click Save.

Search results directory (resume storage)

The results directory is where TalentHook saves resumes retrieved from queries. Click the browse button on the right of the entry field, and identify the directory where you want to store your search results.

Work directory

The work directory is where TalentHook stores non-TalentHook files generated by TalentHook; for example when you open a candidate's resume as a Word document and then save the document, it is saved in your work directory.

History Preservation tab

This tab allows you to enable, disable, or customize the History Preservation feature of TalentHook. The History Preservation feature gives you the option of "preserving" all of the recruiting data that passes through TalentHook's view, even after the associated jobs have been closed and removed from the tree. This includes data regarding every job, search, candidate, resume, and tracking item. Click here to learn more about this feature.

To enable History Preservation, click the Enable History Preservation button. A configuration wizard will open and guide you through the process of configuring the feature's settings.

Once the feature has been enabled, you will see the current settings for this feature displayed on the History tab:

  • Preserve History Data

Controls whether the History Preservation is turned on or off. To turn the feature off, uncheck this box. NOTE: if you turn off History Preservation, all historical data that has been saved in the past will be lost. Do not uncheck this box unless you want to turn off the whole feature and remove all history data from your TalentHook.

 

  • Automatically preserve history for all jobs - with this option selected history data will be preserved for every job you have in your tree.
  • Only preserve data on selected jobs - with this option selected, history data will only be preserved for jobs that you specifically select. (On the Job pane, a Preserve History option will be available.)
  • Purge old history data after ______ - with this option selected, TalentHook will automatically purge old history data after it reaches the specified age. This helps save storage space on your machine.
  • Preserve full resume files (not just summary data) -> with this option selected, TalentHook will preserve the full resume files for each candidate. If this option is not selected, then only summary data is preserved(such as any contact information TalentHook was able to extract from the resume, or that you entered manually; tracking items for the candidate; etc).

Record a reason when marking candidates as rejected - since rejected candidates are preserved if History Preservation is enabled, you can select this option to allow you to record a "reason" for rejecting the candidate.

Prompt for rejection reason -with this option, TalentHook will prompt you to select a rejection reason any time you reject a candidate.

Use the following reason by default: ________ - with this option, TalentHook will use the selected rejection reason by default when rejecting a candidate. This allows you to either click "Reject" and use the default reason, or click the dropdown button and select a different reason.

Preferences tab

This tab allows you to personalize TalentHook to work in a way that feels intuitive to you.

Candidate List

  • Highlight keywords - With this setting enabled, you can quickly locate derivations of your keywords. For example: you have the keyword bank; with this setting enabled, TalentHook will highlight words such as banking, banker and banks that are found in the candidate's resume.
  • Purge rejected candidates when closing application - Enabling this setting removes rejected candidates from candidate lists when you close TalentHook. Additional settings that affect rejects can be found under Search Settings .
  • Default setting for automatic candidate promotion when linking to a job - When you link a candidate to a job, TalentHook automatically places those candidates into the Worklist or Hotlist of that job, depending on this setting.

Search Settings

Use auto-complete when typing query keywords - Auto-complete attempts to automatically complete the keywords you are typing, based on previous keywords you have entered. This setting can expedite your keyword entry especially if you use and re-use the same query keywords.

Warn when refreshing a new query - TalentHook allows you to create a query or refresh an existing query. When you have a query highlighted and you select Search and this setting is enabled, this warning notifies you that you are refreshing an existing query and not creating a new query.

When submitting a query, automatically select it in the tree - With this setting enabled, you can create a linked search and TalentHook will automatically highlight the query in the tree.

Show Results Summary upon completion of search - With this setting enabled, you can view the Results Summary upon completion of a search. The Results Summary tab of the "Query Progress" dialog displays information such as the number of sites searched and the number of new candidates found.

Handling of previously rejected candidates
  • Discard rejected candidates found during searches - With this enabled, candidates that have been previously rejected will not be brought back during subsequent earches.
  • Retrieve rejected candidates, but mark them "Rejected" - With this setting enabled, candidates previously marked "Rejected" will be returned, however they will be marked as rejects.
! Use this setting and the reject setting found under Candidate List, and choose how you want TalentHook to handle rejected candidates.

Email Settings

Automatically record tracking item when sending email - When sending emails directly to managers or candidates from TalentHook (i.e. not using "Bulk Email Wizard" or the "Candidate Submittal Wizard") it is possible to automatically track the email event. With this setting enabled, the "Tracking Item" dialog will be presented to you before the email is created.

Display mail settings when using mail wizards - With this setting enabled, you can confirm your user settings before sending emails with the TalentHook mail wizards; disable this setting and skip the user settings confirmation step.

Bulk Email Method
Send single bulkmail message with BCC to all candidates - With this setting enabled, TalentHook will send out one email message with BBC (blind carbon copy) to all the recipients.
Send separate mail message to each bulk mail candidate - With this setting enabled, TalentHook will send your bulkmail message as separate emails to each recipient.
! Both of these options allow you to compose a single email message and bulkmail multiple candidates simultaneously. The difference between the two is in how TalentHook sends the mail out.

Tree Settings

Double clicking in tree
Opens the selected item - With this enabled, you can open an item in the tree by double-clicking.
Expands and collapses the selected node - With this enabled, you can expand and collapse the tree node you have selected by double-clicking.

Automatically save a changed item when switching to another in the tree or list - With this setting enabled you can edit and item in the tree or list and then move to another section of the tree and TalentHook will automatically save your change.

Restore tree to last session state on opening application - By enabling this setting, when you start TalentHook, it will display the tree in the state it was in when you last used the application, with the same nodes expanded or collapsed. If you disable this setting, TalentHook will start at the home page, with the tree completely collapsed.

Show query keywords in tree - Enable this setting and the query's keywords will appear directly after the name of the queries in the tree.

Dialog Settings

Close dialogs after saving modified data - Enable this setting and the "Candidate," "Manager," and "Job" dialogs will close when you save changes.

Close Lookup Dialog after clicking "Goto" - The "Lookup" dialog allows you to find a candidate, manager, job or company. Once you find what you want, you can go to it by clicking the Goto button.

Close Candidate Dialog after clicking 'Goto list" - The Jobs tab of the Candidate Dialog allows you to see other jobs that this candidate is linked to. Clicking Goto List will take you to a particular job to which this candidate is linked. The Queries tab allows you to see other queries in which this candidate has been retrieved. Clicking Goto List will take you to a particular query in which this candidate resides.

Do cascading creates (Organization to Manager to Job) - Typically when you create a new company (organization), you will create a manager and a job under that company. Enabling this setting and TalentHook will automatically step you through the hierarchy of creating an organization, a manager, a company and a job.

Miscellaneous Settings

Show tips on startup - With this setting enabled, you can view the "Tip of the day" dialog upon startup of TalentHook.

Always show the main toolbar in full color - With this setting enabled, you can view TalentHook's main tool bar in full color. If you disabling this setting, you will only see the toolbar buttons in full color when you roll over them with your pointer.
